GENERAL PURPOSE:

The Accounting Assistant will be responsible for providing administrative support ensure efficient and accurate operation of business processes primarily in the Accounting Department. The position supports managers and administration staff through a variety of tasks related to Accounting and communication. Tasks are completed accurately, with high quality and in a timely manner. This position will also function as backup to the Receptionist position as dictated by business needs and will include answering phones and greeting/directing guests.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

§ Works with Accounting Manager to administer accounts

§ Works independently and within a team on special nonrecurring and ongoing projects

§ Assists in the reconciliation of billing and monthly statements

§ Maintains and updates filing system for Accounting

§ Retrieves information from files when needed

§ Assist in the preparation of Accounting reports                                                      

§ Prints and emails customer invoices

§ Mails vendor checks

§ Facilitates outbound UPS shipments

§ Provide general support to administrative staff and visitors

§ Answers phones as needed

EDUCATION / EXPERIENCE:

§ Basic English reading/writing skills

§ Able to answer phones in a pleasant and professional manner

·      High School Diploma or GED equivalent

·      Work experience in an office environment required

·      Proficiency in Microsoft Office suite

·      Knowledge of office systems and procedures

JOB FACTORS/WORK ENVIRONMENT:

·      Work is administrative in nature with frequent walking between offices and departments

·      Contact with managers, directors and officers of the company

·      Occasional periods of standing (for filing)

·      Able to occasionally lift up to 30 lbs.

·      Extended period of sedentary desk duties

POSITION QUALIFICATIONS:

·      Certification or completion of Microsoft Office courses a plus

·      Excellent interpersonal skills with the ability to communicate with all levels of staff and work well independently or on a team

·      High level of accuracy and attention to detail

·      Electronic Systems knowledge (MS Office, Outlook)

·      Proven time management and organizational skills

·      Able to operate company phone system

·      Able to greet guests and applicants and provide information in a professional manner
